Operations & Portfolio Coordinator

Reports To: President

Status: Full-Time, Exempt

Position Summary

Venture North is seeking a highly organized, detail-oriented, and proactive Full-Time Bookkeeper / Portfolio Coordinator / Administrative Assistant to support day-to-day financial operations, portfolio management activities, and administrative functions across the organization.

This role is ideal for someone who thrives in a fast-paced entrepreneurial environment, enjoys wearing multiple hats, and can manage financial accuracy while supporting leadership, clients, and internal operations.

Primary Responsibilities

Bookkeeping & Financial Administration 

  • Maintain accurate accounting records using QuickBooks or similar accounting software. 

  • Process accounts payable and accounts receivable transactions. 

  • Reconcile bank, credit card, and loan accounts monthly. 

  • Prepare deposits and record incoming payments. 

  • Maintain vendor files, W-9s, and 1099 reporting. 

  • Support monthly financial statement preparation. 

  • Assist with annual audit and tax return preparation. 

  • Track budgets, grant expenditures, and restricted funds. 

  • Coordinate and process fiduciary grant activities. 

Loan Portfolio Administration 

  • Client intake 

  • Coordinate loan application, loan committee review and loan closing. 

  • Coordinate loan servicing and document compliance. 

  • Loan operations 

Borrower Communication & Support 

  • Serve as a point of contact for borrower inquiries regarding payments, documentation, and account status. 

  • Coordinate payment follow-up and delinquency communication. 

  • Assist borrowers with submission of required financial information and reporting. 

  • Support a positive borrower experience aligned with Venture North’s mission and values. 

Reporting & Compliance 

  • Assist with portfolio reporting for the board. 

  • Assist with portfolio reporting for funders. 

  • Support federal and state reporting and compliance documentation. 

  • Help maintain policies, procedures, and internal controls related to loan servicing. 

Administrative Support 

  • Monitor general phone line and direct calls to appropriate individuals. 

  • Prepare correspondence, reports, and routine communications. 

  • Coordinate electronic and physical file organization. 

  • Assist with scheduling, meeting preparation, and reporting materials. 

  • Assist with special projects and organizational initiatives as assigned. 

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Business Administration, Finance, or related field preferred. 

  • 3+ years of bookkeeping, office administration, or financial operations experience. 

  • Experience with accounting software such as QuickBooks preferred. 

  • Strong proficiency in Microsoft Excel and Microsoft Office. 

  • Excellent organizational and time-management skills. 

  • Strong written and verbal communication abilities. 

  • Ability to manage multiple priorities independently.

  • High attention to detail and accuracy. 

  • Experience in investment, venture capital, nonprofit, or small business environments is a plus.
